Build Transportation Around the Signers’ Actual Sequence

A title or settlement company may coordinate buyers, sellers, attorneys, lenders and witnesses who need to reach different locations at different times. The transportation record should name each traveler, appointment owner and authorized booker. It should not imply that the chauffeur participates in the transaction or holds closing materials.

For a high-value or out-of-town client, a dedicated vehicle can make a complicated day feel orderly: airport arrival, hotel or residence, final walk-through, settlement office and onward departure. Each leg still needs a confirmed address and host contact.

Signings and Closing Offices

Provide the office suite, building entrance, visitor instructions and required arrival time. Downtown Washington, Arlington, Alexandria, Bethesda, Rockville, Baltimore and Richmond each have different curb, garage and security conditions. A company mailing address may not be the location where the signer should enter.

If signers arrive separately, use individual passenger assignments and pickup contacts. If they share a ride, identify the full group and confirm all bags. A signing can extend unexpectedly, so do not schedule an airport departure from the published appointment start without a realistic completion buffer.

Property Walk-Throughs and Key Handoffs

A final walk-through may occur before settlement at a residence, condominium or construction site. The listing agent or property manager controls access. Supply gate, lockbox or guest-list instructions through the responsible professional; the chauffeur does not collect keys, grant entry, supervise the inspection or make representations about the property.

When the property has an active worksite, gravel drive or restricted garage, confirm a safe passenger loading point. A minibus or motorcoach may be unsuitable for a residential street even when the signing group is large; consider multiple SUVs or a staging transfer.

Document and Funds Custody

Original deeds, checks, keys, escrow items and signed packages remain with the client or settlement professional unless a specific delivery mission is described and accepted in writing. The sender must name the authorized recipient, package, contact and acknowledgment process. A routine ride does not establish chain of custody.

Chauffeurs do not notarize, witness, explain title documents, handle escrow funds, serve process or act as closing agents. The title company remains responsible for legal process and document security.

Airports and FBOs for Visiting Clients

Commercial airport arrivals need the operating flight, traveler mobile, baggage, meeting method and onward address. Airport arrivals include a 30-minute grace period, except at FBOs. Changes to the operating flight must be reported directly.

Private aviation requires the confirmed airport and FBO or handler, aircraft reference, lead passenger, luggage and meeting point. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups.

Vehicle and Timing Choices

A sedan or SUV may serve a signer and adviser. An SUV can help when the client has luggage or a companion. A Sprinter supports larger family or transaction parties, subject to garage and property access. Count luggage separately from passenger seats.

For a lender, real-estate agent and family traveling together, confirm who must remain through settlement and who can leave early. Parallel vehicles may protect a hard airport commitment while allowing signers to complete the appointment.

Keep Transportation Separate From the Closing

Settlement staff should give each signer a realistic pickup and arrival window, especially when the itinerary includes a final walk-through, lender appointment or courthouse filing. A closing time is not an estimate of how long a signer will be ready to leave. If the vehicle is needed after signing, request retained availability for a defined period or schedule a later pickup with a named contact who can confirm readiness.

Where several properties are involved, order the stops around access windows and the party who must be present. The property owner, agent or site manager supplies gate and parking instructions; a chauffeur does not obtain keys, supervise a vacant property or accept custody of transaction funds. If an authorized courier task is requested separately, identify the sealed item, sender, named recipient and documented handoff method before confirmation. Ordinary passenger booking does not create a document-custody chain.

Coordinate Buyer, Seller and Counsel Departures

When a buyer and seller finish at different times, do not treat the closing office as a shared pickup point unless both parties have agreed to it. Assign each traveler a mobile number, destination and vehicle. If counsel, a lender or an agent is joining one leg, note the authorized passenger count and the person who will confirm that everyone is ready. This avoids exposing a confidential meeting schedule or delaying a separate airport departure.

For out-of-area clients, confirm whether luggage stays with the passenger during a property stop and whether the final destination is a hotel, residence, airport or another signing. Airport movements should include the operating flight and a reachable traveler; Airport arrivals include a 30-minute grace period, except at FBOs. Private aviation requires the specific FBO and separately confirmed waiting terms. A clean passenger itinerary makes the handoff predictable while leaving all settlement decisions and document execution with the authorized professionals.

Title Company Request Checklist

Send the date and time zone, full addresses and entrances, signer names and mobiles, appointment owner, flight details, baggage, required arrival, property contact, stop order, expected waiting, return plan, vehicle preference, billing authority and change authority.

Requests are accepted 24/7; service is subject to confirmation. Pricing is private and based on the actual itinerary, vehicle and operating needs. The written confirmation defines the accepted assignment.
