The right meeting plan depends on the exact station—not just the city. Large stations may have multiple entrances, curb zones or connecting transit systems, while airport rail stations can require a separate shuttle to the terminal.

We can coordinate a confirmed ground segment between a rail station and DCA, IAD, BWI, RIC or CHO when the itinerary requires it. The reservation should identify the operating train, scheduled station arrival or departure, operating flight when applicable, passenger contact, luggage count and any accessibility needs.

Do not plan a tight rail-to-flight connection using scheduled arrival time alone. Train delays, platform-to-curb walking time, baggage, traffic, airport terminal circulation, check-in and security all affect the usable connection window.

What We Need for a Rail Pickup

A polished station transfer starts with the train operator, train number, station code or exact station name, scheduled arrival, passenger contact, luggage needs and a confirmed meeting instruction. Large stations can have several entrances and road levels, so a generic “meet outside” instruction is not precise enough.

For departures, build the vehicle pickup around the rail operator's current boarding guidance. For arrivals, the traveler should remain reachable and report material itinerary changes. Vehicle capacity should be selected at reservation time based on the actual passenger and luggage load.
