The Family Plans the Trip; We Coordinate the Ground Ride

Families often book student transportation around semester breaks, move-in and move-out, campus visits, athletic weekends, commencement, performances and private-school events. A useful request identifies the student or family member, the adult coordinator, the campus destination, permitted arrival point, luggage and timing. A route that simply says “college” is not enough when a campus has multiple gates, residence halls and event entrances.

This service is for passenger ground transportation. It does not replace campus security, school supervision, a chaperone, a guardian or a school’s own transportation policy. For a minor traveler, the parent or responsible adult must confirm the applicable booking and handoff instructions with reservations before travel; the service details must be accepted and confirmed before dispatch.

For adult students, an executive assistant or parent may coordinate an airport pickup, campus arrival and return break trip. For families visiting from out of state or overseas, a multi-stop itinerary can connect DCA, IAD, BWI or a rail station with a hotel, campus tour, admissions appointment and family dinner.

University Breaks, Campus Visits and Family Weekends

A break trip may begin at a home in McLean, Bethesda, Potomac, Great Falls or another DMV community and end at a campus beyond the region. DC Black Cars handles requested point-to-point travel on confirmed routes; for a longer journey, provide the campus address, preferred departure time, planned stops, luggage and return date. A door-to-door trip can avoid coordinating multiple rides, but availability, route and service duration must be confirmed.

Parents’ weekends, alumni events, commencement and family celebrations can involve a hotel, campus venue, off-campus restaurant and airport departure. List each stop with its exact address and time, and say whether the student and family travel together. Campus event traffic, road closures, permit-only roads, loading restrictions and local security directions may change where the driver can meet the passengers.

Admissions and college tours often combine multiple schools in one day. Give the order of campuses, tour registration times and the authorized passenger meeting point for each visit. If a tour runs late, contact the coordinator so the remaining itinerary can be reviewed; a driver cannot assume that a campus lobby or security checkpoint will permit waiting.

Private School, Performing Arts and Athletics Travel

Private-school families may arrange airport transfers, weekend travel, school performances, graduations, parent events and transportation for visiting relatives. For a school or team request, the school or authorized adult supplies its rules for passenger release, supervision, student lists, pickup windows and emergency contacts. Transportation is confirmed only when the accepted service scope matches those rules.

Student-athlete trips can involve practice, tournaments, away games and family attendance. For school teams or larger groups, share the roster count, luggage and equipment, venue entry, loading zone, arrival deadline and whether staff will travel with students. Group vehicle selection depends on actual capacity and access; if team equipment takes cargo space, report it separately from passenger count.

School policies for minors and campus access differ. The booking adult must obtain required approvals and provide a named adult contact at pickup and destination. We do not make assumptions about a student’s permission to travel alone, release from school or access to a residence hall.

Airport Transfers and Luggage Planning for Students

Airport pickups for students require more than a flight number. Provide the operating airline and flight number, the traveler’s mobile number, terminal or meeting instructions, luggage and instrument or sports-equipment count, campus or home address and the person who will meet the student. For an FBO arrival, provide the exact FBO and its approved passenger-release procedure.

Airport arrivals include a 30-minute grace period, except at FBOs. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups. The adult coordinator should promptly report a changed flight, cancellation, diversion or revised arrival plan. A vehicle can only be dispatched to the confirmed airport and meeting location.

Suitcases, trunks, instruments, sports gear and dorm supplies can use more space than expected. Select a vehicle based on the actual passengers and load, not just seat count. If a student is bringing several pieces of luggage, include dimensions or a clear description, and keep items out of passenger seats unless specifically approved for the assigned vehicle.

Booking for Parents, Guardians, Assistants and Schools

A parent or guardian can book directly; an executive assistant or family office can coordinate multiple students with the family’s authorization. Schools and universities may request transportation for speakers, visiting families, admissions guests, board members or event attendees through an authorized contact. Include the person who can approve schedule changes and the person receiving trip updates.

Privacy is especially important when coordinating student travel. Share only necessary passenger and trip details with the people who need them, and use a reliable day-of phone contact. If the itinerary includes a residence, dormitory or private school, follow the property’s visitor check-in rules and meet at the location it authorizes.

For airport-specific planning, see airport transportation.

Plan Campus Access and the Return Pickup Before Departure

Before booking, check the school or university’s current visitor, gate and curbside instructions. If the campus does not allow a vehicle at the dorm, name an approved nearby meeting point and tell the traveler how to identify the car. For a large campus or event, use a specific building or gate and avoid relying on a general campus name.

For repeat break travel, a family can prepare a trip brief with names, phone contacts, permitted pickup locations and the usual luggage pattern, then confirm the date-specific details each time. A recurring request still needs a confirmed date, passenger, origin, destination and service availability. A school’s schedule or airport arrival may change, so timely updates help dispatch review the plan.

To request a trip, send the dates, passenger age if under 18, adult coordinator, campus or airport details, luggage, access instructions and return plan. Reservations will review the request and confirm whether it can be accepted. Use the transportation inquiry form, call 202-972-0003 or review private client service for family travel coordination.

Frequently Asked Questions

Can parents book airport transportation for a university student?

Yes. Provide the student’s contact number, confirmed flight and meeting instructions, destination, luggage count and the adult coordinator. The trip is subject to acceptance and confirmation.

Can you transport an unaccompanied minor to school or campus?

A parent or responsible adult must confirm the applicable booking, escort, pickup and handoff instructions with reservations before travel. Transportation does not replace guardian supervision or a school’s release policy, and the request must be explicitly accepted before dispatch.

Can you arrange transportation for campus tours and admissions visits?

Yes. Share each campus address, tour registration time, authorized vehicle entrance, passenger count and any additional stops. Campus security, closures, parking and drop-off restrictions may affect the meeting point.

Can you handle student luggage, musical instruments or sports equipment?

Include each passenger, suitcase and oversized item in the request. Vehicle selection depends on the specific configuration and cargo space; a seat count alone does not confirm that all belongings will fit.

What is the airport waiting policy for student arrivals?

Airport arrivals include a 30-minute grace period, except at FBOs. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups. Share the flight or confirmed FBO and report any changes promptly.
