The Ground Reservation Begins With the Handler

A private-aviation pickup cannot be built reliably from “Dulles,” “Leesburg” or a tail number alone. Brokers and flight departments should provide the confirmed airport, current FBO or handler, aircraft or trip reference, lead passenger, passenger mobile, baggage profile and release contact. If the handler changes, the ground operator needs the new information directly.

The broker should also identify who controls ground changes: charter desk, flight department, lead assistant, family office or passenger. When several parties can text instructions, establish one authoritative source before the chauffeur is positioned.

Arrival Timing Is Not Commercial-Airport Timing

Private aircraft may arrive early, hold, divert, reposition or release passengers before or after the original estimate. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups. The reservation should state booked time, monitoring reference, communication contact and what happens when the aircraft moves materially.

Commercial airport arrivals are different. When a client connects through a scheduled airline, provide the operating carrier and flight number, meeting method, baggage and destination. Airport arrivals include a 30-minute grace period, except at FBOs. Do not apply that term to an FBO movement.

Match the Vehicle to People, Bags and Aircraft Mission

A light-traveling principal may prefer a sedan or premium SUV. A family or executive party with standard bags may need an SUV or Sprinter. Golf bags, skis, product cases, wardrobe, pet carriers or catering-related items can change the plan. Send piece counts and unusual dimensions; aircraft capacity does not establish ground-vehicle capacity.

A separate luggage vehicle can protect comfort and departure speed when the principal party is large. Multiple aircraft require separate manifests and release contacts. Vehicle model, configuration, amenities and access remain subject to confirmed equipment.

FBO Access and Chauffeur Positioning

The handler controls ramp and facility access. Some pickups occur at a lobby or landside door; other movements may use an approved ramp procedure. The broker or handler must provide the lawful instruction. A chauffeur cannot create ramp privileges, bypass screening or assume that an arrangement used on a previous trip remains valid.

If a security team, greeter, household representative or local host will meet the aircraft, name that person and define the handoff. Avoid sending sensitive passenger information beyond the approved contacts. Discretion still requires accurate names, mobiles and vehicle assignments.

Diversions, Recovery and Last-Minute Airport Changes

Weather, slot restrictions, mechanical issues and crew decisions can move the aircraft to another airport. A diversion from IAD to BWI, Manassas, Leesburg or a more distant field is a new operating problem—not a simple address edit. Vehicle position, travel time, chauffeur hours and onward commitments must be reassessed before the change is accepted.

The broker should send the revised airport, FBO, estimated arrival, passenger status and final destination in one clear update. If a commercial airline replaces the charter segment, provide the new operating flight. A tail-tracking link alone is not approval of a changed ground assignment.

Onward Travel Beyond Washington

Passengers may continue to McLean, Great Falls, Middleburg, Potomac, Richmond, Baltimore, Philadelphia, New York, a university, resort or private estate. For longer service, build from the required arrival and consider traffic, weather, tolls, rest, relief coverage and overnight needs. Cross-border travel toward Canada requires express feasibility review; travelers remain responsible for documents and entry eligibility.

Broker Booking Record

Send date and local time zone, airport, confirmed handler, aircraft reference, estimated and booked time, lead passenger and mobile, passenger list, baggage and special items, vehicle request, onward addresses, required arrival, status recipients, billing party and change authority. Mark superseded schedules clearly.

Requests are accepted 24/7, with service subject to confirmation. Pricing is private and based on the actual airport, positioning, vehicle, waiting, stops and operating plan. The written confirmation controls the accepted service.

Departures Need the Same Precision as Arrivals

For an outbound aircraft, the broker should supply the chauffeur’s required FBO arrival—not only wheels-up time—and confirm when the passengers will be ready at the residence, hotel or meeting. Include luggage loading, gate access and the handler’s preferred passenger handoff. If the aircraft is delayed before the vehicle departs, the authorized coordinator should decide whether the pickup changes or the party waits at the FBO.

Round trips should be booked as two defined movements unless retained service is specifically confirmed. A return aircraft may use a different handler, tail or airport. Reconfirm the actual return details rather than copying the outbound record. When crew transportation is also requested, separate crew passengers, hotels and release contacts from the principal itinerary so neither movement depends on assumptions. International processing, pets and oversized articles must be identified before vehicle assignment because they can change both the meeting procedure and required cargo space.

Give the Broker and Ground Team One Handoff

The broker may arrange the trip while a flight department, FBO, assistant, or family office controls day-of details. Name the actual passenger contact, current handler, aircraft reference, destination, and person authorized to approve changes. Aircraft-side access is never implied; the operator and facility determine the lawful meeting point and release process.
