Coordinate the Non-Clinical Handoffs

An international patient or executive may move from an airport to a hotel or residence, then to specialists, imaging, treatment, pharmacy and follow-up appointments. The medical concierge should own the transportation itinerary and identify who is responsible at each handoff. The passenger should not have to explain the plan repeatedly after a long flight.

Dispatch needs the traveler name and mobile, companion or interpreter, luggage, public patient entrance, mobility information relevant to the vehicle and a reachable coordinator. Diagnoses, records and unnecessary clinical details should remain with the provider and concierge.

Non-Emergency Service Boundaries

This service is not an ambulance, wheelchair van by default or clinical transport. Chauffeurs do not monitor vital signs, administer medication, lift passengers, manage oxygen, decide whether someone is fit to travel or respond as medical personnel. A person who may require clinical observation or emergency capability needs an appropriate medical provider.

If a clinic requires a responsible adult after sedation or treatment, the client must arrange that adult. A chauffeur does not become the required caregiver. Accessibility, step height, wheelchair storage and specialized vehicle needs must be disclosed and explicitly confirmed before service.

International Arrival to Hotel or Residence

For a commercial arrival, provide the operating airline and flight number, passenger mobile, baggage plan, meeting method and first destination. Airport arrivals include a 30-minute grace period, except at FBOs. Immigration, customs and baggage can vary; the concierge should remain reachable and report a missed connection, diversion, rebooking or new flight number directly.

Meet-and-greet may be requested and confirmed, but transportation does not provide visa, customs or immigration representation. The traveler remains responsible for passports, entry permission and declarations. When family, interpreters or substantial luggage travel separately, assign each person and bag to a specific vehicle.

Private Aviation for Patients and Executives

For private aviation, provide the confirmed airport and FBO or handler, aircraft or trip reference, lead passenger, baggage, release contact and lawful meeting point. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups. A handler change or diversion must be communicated directly.

Specialist and Hospital Appointments

Washington-area care may involve hospitals and clinics in the District, Bethesda, Rockville, Baltimore or Northern Virginia. Large campuses can have emergency, inpatient, outpatient, cancer, imaging and physician-office entrances. Supply the public entrance stated by the provider and an appointment contact; a campus name alone is not enough.

Build the pickup from the required check-in rather than the appointment start, allowing for traffic, unloading, mobility pace and registration. Release after an appointment may be uncertain. Choose a retained vehicle with lawful staging or arrange a later confirmed pickup; do not assume a chauffeur can wait indefinitely at a clinical curb.

Recurring Treatment and Extended Stays

For a series of outpatient visits, create a dated schedule with the current address and provider entrance for each trip. A recurring pattern is helpful but does not guarantee the same chauffeur or vehicle. Reconfirm changes in treatment time, companions, mobility and destination. If the passenger stays at a hotel or furnished residence, name the correct entrance and on-site contact.

Retained or on-call-style availability must have a defined service window and is subject to confirmation. The concierge should also establish who may receive status updates, protecting health privacy while keeping the day operationally clear.

Vehicle and Companion Planning

A sedan may suit an ambulatory traveler and one companion with limited luggage. An SUV may add space but can have a higher step. A Sprinter can serve a family or interpreter group only when entry, seating and storage suit the passenger. The most luxurious vehicle is not automatically the most accessible one.

Medical Concierge Request Checklist

Send the local service date, operating flight or FBO, complete addresses and public entrances, ready and required arrival times, traveler and coordinator mobiles, companions, interpreters, luggage, mobility and accessibility needs, waiting or return plan, status recipients, billing authority and change authority.

Requests are accepted 24/7; service is subject to confirmation. Pricing is provided privately after the itinerary, vehicle, waiting and operating needs are reviewed. The written confirmation defines the accepted non-emergency service.

Family Members Need Their Own Movement Plan

An international care journey may include relatives arriving on different flights, a spouse staying at another property or an interpreter joining only for appointments. Build those as named passenger movements rather than telling everyone to follow the patient’s car. Separate vehicles may be appropriate when a family member has a different hotel, airport or daily schedule.

The concierge should decide who receives arrival and drop-off updates and avoid distributing medical-location information beyond the authorized group. If the patient is admitted unexpectedly, the coordinator must issue a new transportation plan for companions and luggage; the chauffeur cannot decide where family members should stay or when clinical release will occur.

Keep Medical Visits Non-Emergency and Clearly Scoped

For overseas visitors, transportation can connect an arrival airport, hotel, consultation, and follow-up appointment. Confirm the actual clinic entrance, traveler’s language or interpreter needs, mobility equipment, companion, and return plan. This is non-emergency chauffeured service: clinical monitoring, lifting, translation, and post-procedure care must be arranged separately.
