Treat the Ride as Part of Dealership Hospitality
A luxury dealer may arrange an airport, hotel, office or residence pickup for a prospective buyer, collector, service client, manufacturer executive or invited guest. The ride should make the appointment easier and reflect the dealership’s service standard without implying that the chauffeur is a salesperson or vehicle-delivery driver.
Identify who is booking, who pays and which dealer contact can approve changes. Provide the guest’s mobile, complete dealership entrance, appointment owner, passenger count, luggage and return plan.
Buyer Visits and Vehicle Selection
A buyer’s day might include a dealership, nearby second location, private inspection, lunch and an airport departure. Confirm the sequence and expected meeting length. If the customer is considering multiple brands, each location needs its own appointment and visitor entrance. A negotiation or vehicle inspection can run long, so do not promise a tight flight connection on an optimistic schedule.
The buyer, sales representative or independent inspector remains responsible for vehicle evaluation, test-drive approval and transaction decisions. The chauffeur does not negotiate, drive the purchased car or handle keys, title, registration or funds by implication.
Service-Center and Courtesy Transportation
A dealership may use chauffeured service for a client whose vehicle is in service or for a guest arriving to collect a car. State whether the ride is one-way, round trip or retained while the appointment proceeds. Service-center release times are uncertain; a later confirmed pickup can be more reliable than asking a vehicle to wait in a crowded drive.
Confirm the service advisor and passenger handoff. The chauffeur does not diagnose the vehicle, transport repair parts, collect payment or promise when work will be complete. If the appointment changes, the named dealer contact should issue the revised plan.
Airport Reception for Buyers and Executives
For commercial arrivals, provide the operating airline and flight number, passenger mobile, luggage, meeting method and dealership or hotel address. Airport arrivals include a 30-minute grace period, except at FBOs. The dealer should tell dispatch directly if the buyer changes flights or airports.
For a private-aircraft arrival, send the confirmed airport and FBO or handler, aircraft reference, lead passenger, baggage and lawful meeting point. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups.
Vehicle Choice and Client Privacy
A sedan can suit one buyer or executive with light bags. An SUV allows more room for a companion, luggage or a comfortable step-in. A Sprinter may be appropriate for a family or group visit, but the dealership drive and garage must accommodate it. Confirm passenger count and all luggage before selecting a class.
Some clients prefer not to discuss the purchase while traveling with a larger group. A dedicated vehicle may support privacy. The dealer should not share sensitive purchase details, trade-in value or client profile with dispatch; provide only the information needed to operate the service.
Collectors and Out-of-Area Buyers
A collector flying into Washington may need a ride to a dealer in Northern Virginia, Maryland or another state and a separate return if the purchased car is driven home. That return cannot be assumed. Confirm where the buyer will be after the sale, who carries personal luggage and whether a separate airport or hotel transfer is needed.
For an interstate purchase trip, review driver hours, required arrival, weather, tolls and overnight feasibility. A same-day return is not guaranteed. Transportation does not ship or deliver the automobile.
Special Events and Manufacturer Guests
A dealer launch, owner reception or manufacturer presentation may include guests arriving from different hotels and airports. Organize names by arrival wave and identify the host at each location. For a test-drive event or showroom activation, the dealership controls demonstration vehicles, credentials and guest access; the chauffeured vehicle serves as ground transportation only.
At a large event, use a clear loading zone and expected end time. If the venue imposes a shuttle loop or coach restriction, share those rules before selecting vehicle size. The dealer should keep an on-site contact available until the last guest is released.
For a high-profile vehicle reveal, the chauffeur should receive only the guest arrival and curb plan, not embargoed product specifications or sales materials. The host should confirm whether photography, branded signage or other event instructions affect the drop-off. A guest who misses the planned vehicle wave should call the named event contact for reassignment rather than joining an unlisted car.
Dealership Coordinator Checklist
Send the service date, complete pickup and dealership addresses, entrance and service advisor, guest name and mobile, passengers, luggage, flight information, appointment window, stops, waiting or return plan, billing authority and change contact. Explain whether this is a buyer, service, manufacturer or hospitality movement.
Requests are accepted 24/7; service is subject to confirmation. Pricing is privately confirmed from the itinerary and vehicle. The written reservation controls the accepted ride.
Vehicle Handoffs and Customer Appointments
A dealership pickup can involve a customer, sales or service representative, and a separate vehicle handoff. The reservation should identify whether the passenger is visiting the showroom, service department, or another site, and whether the ride is one-way or round-trip. A chauffeur is not a dealership employee and should not be asked to accept keys, paperwork, or vehicle custody without a separate arrangement.
