Production Transportation Starts with the Call Sheet

Film and production transportation must reflect the current call sheet, location plan and authorized production contact. A shoot may involve hotel pickups, a base location, a permitted set, a holding area and a wrap destination, each with a different address and access instruction. The transportation coordinator should provide the current version, identify the production day and mark which times are firm versus subject to change.

List talent, directors, crew, clients and guests by group, pickup window and destination. A principal traveling privately may need a separate sedan, while a small cast or crew group may use a Sprinter or larger vehicle if passenger and cargo needs fit. The vehicle is for passenger transportation; it is not automatically a production van, equipment truck, mobile dressing room or secure holding space.

Separate Talent, Crew and Unit Moves

When a production runs more than one unit or has multiple call times, create a distinct movement for each passenger group. Record the approved passenger name or alias, hotel or pickup address, call time, location entrance, production contact and next destination. Give each vehicle a lead passenger or coordinator who can confirm that the right people have boarded and can relay a schedule change.

Do not place an entire cast or crew schedule in every passenger’s itinerary. Share only the movement details needed by each person and driver. If talent has a confidential hotel, private arrival or early wrap, use a restricted contact list and a separate schedule. Production handles talent management, security, location permits, set credentials and any filming-related responsibilities.

Location Access and Staging

A location address may lead to a public entrance, a production gate, a base camp or an unusable service road. The location manager or production coordinator must identify the approved passenger entrance, staging area, vehicle restrictions and person who can meet the chauffeur. A permit or call sheet does not guarantee curb access or a place to wait.

When a location changes, the authorized production contact should send dispatch the revised address and confirm that the vehicle can reach it. For a restricted property, the production team arranges credentials and escort. Drivers follow lawful site instructions and do not enter a controlled area based on an unverified text from a passenger.

Wardrobe, Cases and Vehicle Fit

Wardrobe bags, personal luggage, makeup cases, camera accessories and production materials can occupy cargo space quickly. Count each passenger and describe each item separately before selecting a vehicle. A seat count does not show whether garment bags can remain uncreased or whether cases can be secured safely. Confirm actual vehicle configuration, luggage space, accessibility and any special handling requirements.

Chauffeured passenger service does not include equipment trucking, loading production gear, custody of valuable items or specialized set support. The production company should arrange a dedicated equipment vehicle and staff when needed. If a passenger carries an unusually large or fragile item, disclose it in advance and obtain confirmation that it can travel in the assigned vehicle.

Call-Time Changes, Holds and Wrap

Shoot schedules can shift because of weather, location readiness or production decisions. Confirm whether a vehicle is booked for a single transfer, a defined hourly period or a specific return at wrap. If a unit runs late, the producer or authorized transportation coordinator must request and confirm any extension. Drivers are not assumed to remain at a location indefinitely after a drop-off.

For staggered wrap times, set separate return waves and name a coordinator at each pickup point. A late call or company move should be reflected in one current schedule with a revision time. Identify optional movements that can be removed if the day changes, and provide a secondary contact in case the production coordinator becomes unavailable.

Airport Arrivals and Private-Aviation Moves

For commercial airport arrivals, send the operating airline and flight number, passenger or approved alias, mobile contact, baggage count, meeting method and first production destination. Airport arrivals include a 30-minute grace period, except at FBOs. Report a cancellation, diversion, rebooking or changed flight number directly. A monitored flight does not replace a current call sheet or confirmed pickup instruction.

For private aviation, provide the current airport and FBO, aircraft reference when appropriate, handler or release contact and approved meeting point. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups. The production coordinator should align the driver’s pickup with passenger release and the next call time.

Confidentiality and Production Boundaries

Unreleased project titles, scripts, cast locations and shoot schedules should not be included in general dispatch instructions unless essential to identify the assignment. Use an approved production or account reference and provide the driver with only the pickup, passenger, access and contact details required to perform the ride. Establish who may receive location updates and who can authorize a material schedule change.

Transportation does not provide personal protection, talent representation, location security, medical care, wardrobe service or production management. The studio, producer and location team control those functions. A chauffeur’s role is to perform the confirmed ground transfer and follow the authorized access plan.

What to Provide for a Production Request

Send the shoot date and local time zone, current call sheet or movement manifest, pickup and set addresses, passenger roster or approved aliases, call and wrap times, requested vehicle, wardrobe and luggage count, accessibility needs, access and staging instructions, airport details where relevant, waiting plan and authorized change contact. For multiple units, provide a separate itinerary and lead for each vehicle.

Requests are accepted 24/7 and are subject to confirmation of availability, equipment, schedule and operating terms. Pricing is provided privately after the number of movements, service windows, vehicles, waiting, parking and route are reviewed; public rates are not listed. To request production or talent transportation, submit the approved movement plan through the reservation channel. The written confirmation controls the accepted assignment.
