Give the Student and Family a Private Travel Plan
A prospective college athlete’s visit can involve an airport arrival, hotel, campus meeting, athletic facility, showcase or game, and a return flight on a separate schedule from the parents. When a family is booking privately, the day should be built around the student’s appointment and the adults’ travel obligations, with one person responsible for itinerary changes. A prearranged car lets the family focus on the visit instead of finding parking or coordinating several rides.
Ashburn and Tysons are useful starting points for families arriving through Dulles, staying in Northern Virginia or connecting to a campus elsewhere in the region. The booking must identify the actual school, athletic facility or authorized visitor entrance. Chauffeur service does not provide recruiting access, admissions appointments, eligibility advice or supervision for a student.
Dulles-Area Arrivals and Campus Connections
Families may use IAD for a Dulles-corridor stay, then continue to a university appointment in Maryland, Washington, Richmond or another market. Travel time can change with the destination, toll-road route and campus entry procedure. Send the confirmed flight and first address, then list the visit locations in order. If the itinerary ends at a different airport, show that as a separate leg with its own required arrival.
Some campuses use a general admissions entrance while athletic facilities or residence halls have a different visitor procedure. Ask the school or recruiting host for the correct building and drop point, any registration requirement and a contact who will meet the family. A university name alone is not enough to dispatch a vehicle to the right entrance.
If a family plans to visit several schools over a weekend, separate each campus day and overnight location. Do not schedule a long drive after a late game without confirming the student’s departure time and the driver’s service window. When the parent returns to IAD before the student’s next appointment, plan the parent’s ride independently.
Recruiting Visits, Showcases and Break Travel
Private family requests may include official or family-arranged campus visits, recruiting conversations, showcases, tournament games, school-break transfers, a student’s move between a residence and airport, and parent travel to a campus event. Team or athletic-department transportation has different manifest and scheduling needs and should be requested as an organized group program.
- Campus visit: Confirm the admissions or recruiting host, exact building, start time and visitor entrance.
- Athletic facility meeting: Ask the school which entrance the family should use and who will meet the student.
- Showcase or game: Provide the event venue, authorized passenger drop point and a post-event meeting location.
- School-break trip: State the student’s pickup contact, luggage, destination and the responsible adult where applicable.
- Family split schedule: List parent and student flight or meeting times separately; do not assume they travel together.
Student Safety, Equipment and Responsibilities
Parents or the school remain responsible for permissions, supervision and any handoff required for a student. If the traveler is a minor, identify the responsible adult and confirm who will receive the student at each end. The chauffeur follows the agreed pickup and destination instructions but is not a chaperone, athletic staff member or guardian.
Sports bags and equipment can affect passenger seating and luggage capacity. Send counts and dimensions, including any oversized case, before selecting a vehicle. A sedan or SUV may fit a prospect and parent with standard luggage; a Sprinter may work for a family or small adviser group if the actual load fits. A team vehicle or larger coach requires a separate group review and confirmed campus loading access.
Airport Arrival Policy and Vehicle Planning
IAD is convenient for many Ashburn and Tysons itineraries. DCA or BWI may work for other flights and campus destinations. Send the confirmed airport, flight number, arrival date and first destination. Airport arrivals include a 30-minute grace period, except at FBOs. Report cancellations, diversions, rebookings and changed flight numbers directly. FBO waiting terms are confirmed separately; no grace period applies to FBO pickups.
For a family visit, consider whether the vehicle is needed continuously, for a defined group of transfers or for a one-way airport connection. Provide service start and finish times, hotel address, campus stops, return plan and whether the chauffeur should wait or come back later. All timing, vehicle and chauffeur details require confirmation.
A Booking the Family Can Use
Provide the service date, local pickup time, traveler names and ages where relevant, passenger count, luggage and sports-bag dimensions, exact addresses, campus building and entrance, host contact, flight details and return schedule. Name the person who can approve a change. If parent and student plans divide, supply separate contact numbers and arrival instructions.
Keep admissions records, recruiting evaluations, medical information and family financial details out of routine trip notes. Share only the logistics needed to complete each ride. Reconfirm the campus host and visitor entrance before travel, particularly when an athletic facility uses a separate access point from admissions.

Frequently Asked Questions
Can a family book a private car from IAD for a recruiting visit?
Yes. Provide the flight, arrival date, campus building, visitor entrance, host contact and any later airport or hotel transfer.
Can parents and a student athlete follow different schedules?
Yes. List each traveler, pickup, destination and required arrival separately so the student’s visit and the parent’s flight are planned independently.
Can the chauffeur supervise a minor during campus travel?
No. The parent or school remains responsible for permission, supervision and handoffs. Identify the responsible adult at pickup and destination.
Can sports bags and equipment travel with the family?
Provide the number and dimensions of bags or equipment before booking. Vehicle selection depends on both passenger seats and usable cargo space.
Can the service continue to a college outside Northern Virginia?
Longer-distance trips can be requested. Send the campus address, schedule, passenger and luggage details and any return or overnight requirement.
